Credit Class Scheduling

The room assignment process for credit classes is done through an automated process.

Request a General Assignment Classroom for Class Sections:

  1. Identifying your room needs in PAWS by entering the appropriate room characteristic by final call deadline.

    Room Characteristics:
    01: GA – Multimedia
    02: GA – No Multimedia
    03: Department Owned Room

If a department does not indicate a section needs GA space, A ROOM WILL NOT BE ASSIGNED.
  2. If there are any other specific room needs (i.e. a specific location need due to an instructor’s medical condition) or preferences (i.e. moveable chairs), email gen-classroom@uwm.edu before the final call deadline.
  3. If a new section is added after the final call deadline, indicate the section needs a general access room on the “Instructions to Specialist” page of the SOC Change Request Form.

The Process

Approximately one month prior to the start of registration for the term, the Registrar's Office will begin assigning rooms for class sections identified by departments as needing GA classroom space through an automated process in the Ad Astra scheduling software. The system is programmed to look for rooms based on building preferences for each department. This does not guarantee all classes in a department will be in that department’s preferred building(s), but it does mean that is the first place the system will assign a room to a section if one is available.

An initial batch assignment process will be run for enrollment sections only (typically LEC or SEM) followed by another enrollment section-only run a week later (for dates see) to catch any class additions or meeting pattern changes that affect room assignments. After this run, departments can work with Classroom Assignments on finding rooms for the remaining enrollment sections without rooms. Once a majority of enrollment sections have room assignments (about a week after the second run), a final batch run will be conducted to assign rooms to non-enrollment sections (typically DIS and LAB). After the final assignment process run date, the Registrar's Office will process additions and changes on a case-by-case basis.

Identifying Available Rooms

Departments now have the ability to search for open GA rooms during a term by using the "Search for a Facility" feature in PAWS. This is a much faster and more efficient way than contacting Classroom Assignments to identify room availability when a change needs to be made to the meeting pattern of a class section.

First Priority Room Assignments

Certain departments and units have first priority access to select General Assignment classrooms prior to the scheduling of those rooms by the Registrar's Office. The first priority access period starts approximately one month after the Schedule of Classes development process begins for a term, and it runs through the week of the final call deadline for that term.
