The room assignment process for credit classes is done through an automated process.
Request a General Assignment Classroom for Class Sections:
- Identify your room needs in PAWS by entering the appropriate Room Characteristics by the SOC PAWS Entry Deadline. If a department does not indicate a section needs GA space, A ROOM WILL NOT BE ASSIGNED.
- Enter the Requested Room Capacity on the Enrollment Control tab in PAWS.
- If there are any other specific room needs (i.e. a specific location need due to an instructor’s medical condition) , email email@example.com before the SOC PAWS entry deadline.
- If a new section is added after the SOC PAWS entry deadline, indicate the section room characteristics on the SOC Change Request Form.
Approximately one month prior to the start of registration for the term, the Registrar's Office will begin assigning rooms for class sections identified by departments as needing GA classroom space through an automated process in the Ad Astra scheduling software. The system is programmed to look for rooms based on building preferences for each department. This does not guarantee all classes in a department will be in that department’s preferred building(s), but it does mean that is the first place the system will assign a room to a section if one is available.
Classrooms are assigned to class sections over the course of a 2.5- to 3-week period (depending on the term) immediately following the SOC PAWS entry deadline for each term. The RO first assigns large lecture (80+ enrollment capacity) sections to lecture halls, followed by all other enrollment sections (typically LEC and SEM). We then work with departments individually to find rooms for enrollment sections without assignments - this often involves changing section meeting times. Non-enrollment sections (usually DIS and LAB) are then assigned once as many lecture sections as possible have assignments. The RO will continue to work with departments to find solutions for any remaining sections without room assignments as needed and will process section additions and changes on a case-by-case basis.
Spring 2015 October 9, 2014 - October 24, 2014
There is a SOC update request freeze for sections needing GA rooms as well as a ROAR academics freeze during this period. For more information, see the SOC Development page.
Departments now have the ability to search for open GA rooms during a term by using the "Search for a Facility" feature in PAWS. This is a much faster and more efficient way than contacting Classroom Assignments to identify room availability when a change needs to be made to the meeting pattern of a class section.
When requesting a General Assignment room for events, please send an email request to firstname.lastname@example.org with the following information:
Number of Attendees
Please Note: All users of GA classrooms are expected to be respectful of classroom equipment and furniture. When using a room, please return it to the normal classroom condition (i.e. return chairs/desks to a normal formation, place all trash in appropriate receptacles).
If you are requesting space for an event in a future or upcoming term, please note we will not process those requests until the following dates:
May 1 – Summer term
August 1 – Fall term
December 1 – UWinteriM
January 1 – Spring term
General Assignment classrooms can be scheduled for non-credit class events according to the General Assignment Classroom Event Scheduling Policy.
