3270 Authorization Toolkit
John McCarragher has been working with DoIT to streamline approvals and access to 3270 for UWM. To that end, PREPs and UBRs should submit separate Teleprocessing (3270) Authorization Forms for each data custodian (Don Weill, Karl Sparks, or Linda Berg), as indicated in the UWM 3270 Transaction List. This will help ensure that authorization forms do not get lost on this campus and that they get into the right hands at DoIT.

Our experiences in the past have resulted in long delays and no communication from DoIT. In the few recent instances using this new process flow, we were able to get new approvals and access within 48 hours of submission. Please note the Authorization Flow diagram and the Roles and Responsibilities document for further information.

We hope this helps, putting all these resources in a convenient toolkit.

Employee
  • Download the 3270 Authorization Form
    Note:A separate form must be completed per area: Budget; Payroll; IADS; Equity & Diversity; Graduate School (See UWM 3270 Transaction List)
  • Complete the form down to the signature boxes
  • Print the form
  • Read DoIT “Client Agreement” statements and ask supervisor for any clarification
  • Sign and date authorization request form
  • Route form to supervisor
  • Notify supervisor when DoIT confirms receipt of request and when they provide access to 3270 transaction(s)
  • Adhere to 3270 password requirements and rules
Supervisor
  • Assist employee, as needed, with properly filling out the 3270 request form
  • Approve or deny employee (client) request for 3270 access
  • If denied, notify employee with reason why request was denied
  • If approved, sign and date form
  • Route form to appropriate Dean/Director for their signature (see UWM 3270 Transaction List)
  • Responsible for employee’s understanding of and compliance to the DoIt “Client Agreement” (see below)
  • Maintain a log of staff 3270 requests (request date, employee name, date signed, etc) to track status
  • Escalate request to Dean/Director to intervene on overdue 3270 Authorization requests
  • Assist Dean/Director in reviewing 3270 authorization audit for their employees and update as needed
  • Request to Dean/Director to have access removed for an employee
Dean/Director
  • Approve or deny supervisor request for employee 3270 access
  • If denied, notify supervisor with reason why request was denied
  • Return inappropriately filled out 3270 authorization request form to supervisor for correction
  • If approved, sign and date form
  • Notify supervisor, with reason why, if a request is denied
  • Escalate to DoIT Security any supervisor’s request for a status update on pending employee request
  • Request from DoIT Security, as per approved frequency, an audit report of all UWM employee access privileges
  • Assist supervisors in reviewing audit and send any updates to DoIT Security
  • As identified, send request to DoIT Security to remove 3270 access for an employee
  • UWM campus responsible person for DoIT Security to contact for resolving any 3270 problems or issues
