Facilities Administrative Services Sub-Department

The Facilities Administrative Services sub-department is responsible for Budgeting, Accounting, Human Resources, and Procurement for Facility Services. This includes the management and maintenance of all budgetary functions for all sub-departments within Facility Services, all Human Resources functions including payroll, and all Procurement/Purchasing transactions. Administration Services also is responsible for generation of all work order requests, and all trouble report requests from the campus for service by the Department of Facility Services.

 

Budgeting

Facilities Administration is responsible for the development of the annual and biennial operating budgets for Facility Services. This includes the development of user fee rates, determining sales credit levels, analyzing costs for sub-departments, developing techniques to monitor and control expenditures, and collecting sales credits from other academic and administrative departments.

 

Accounting

AccountingIs responsible for monthly billing of time, material and miscellaneous costs relative to work performed by Shops departments. Responsible for the annual calculation of user fees and hourly chargeback rates for trades, maintenance, grounds, stores, design, and mail departments. Responsible for the management of DSF Small Project tracking system, monitoring expenditures for cost overruns, and confirming final status of all project charges. Maintenance of the Utility Accounts for the University, as well as the maintenance of postage accounting and voucher accounts for deposits to US Post Office accounts.

 

Human Resources

Responsibilities include the calculation and entry of time and leave accounting to the biweekly time reporting forms for classified and student employees, as well as the preparation of monthly leave accounting reports for the Academic Staff members in Facility Services. Responsible for the preparation and transmission of all necessary personnel documents for Facility Services, including recruitment related documents. Also responsible for the maintenance all personnel files, I-9 forms, organization charts, labor contracts, worker’s compensation reporting, etc., for Facility Services employees.
